This policy explains what personal data Bespoke Journeys Online Ltd (trading as Bespoke Executive Chauffeurs) collects, why we collect it, and what rights you have over it. We are the data controller for that information.
What we collect
When you book or enquire, we collect your name, email address, telephone number, pickup and destination addresses, travel dates and times, passenger and luggage numbers, and any notes you add, such as a flight number or an accessibility requirement. If you pay online, our payment provider handles your card details; we never see or store the full card number.
When you use the website we also collect technical information such as your IP address and the pages you visit. See our Cookie Policy for how that works.
Why we use it
To quote for and carry out your journey, to contact you about a booking, to take payment, to keep accounting records that the law requires us to keep, and to handle any complaint. Where you have agreed to it, we may also send you occasional service updates. You can withdraw that agreement at any time.
Our lawful bases
Performing our contract with you (carrying out a booking), complying with a legal obligation (tax and licensing records), our legitimate interests (running and improving the service, preventing fraud), and your consent where we ask for it (marketing, and analytics and advertising cookies).
Who we share it with
The chauffeur assigned to your journey, our payment provider (Stripe), our email provider, our website and database hosts, Google (website analytics, advertising measurement, and address lookup through Google Maps), Contentsquare (how visitors use the website, if you agree to analytics cookies) and Tawk.to if you use the live chat. Where a corporate account is paying, we share journey details with the account holder. We share information with the police or a licensing authority where we are legally required to. We do not sell personal data.
Measuring our adverts
If you agree to advertising cookies, when you book or send an enquiry we send Google a hashed (scrambled) copy of your email address and phone number, a feature Google calls enhanced conversions. Google uses it only to match the booking or enquiry to an advert you clicked, so we can tell which adverts work. We never send these details in readable form.
How long we keep it
Booking and payment records are kept for six years to meet HMRC requirements. Enquiries that do not become bookings are kept for 12 months. Marketing consent is kept until you withdraw it.
Your rights
You can ask for a copy of your data, ask us to correct or delete it, object to how we use it, or ask us to restrict its use. See our GDPR page for the detail and how to make a request. You can also complain to the Information Commissioner's Office at ico.org.uk.
